As a Project Management Assistant with us, you will be pivotal in coordinating with various internal engineering disciplines and department managers, ensuring seamless collaboration and exceptional project outcomes. The JDI Group (JDI) is looking for a results-oriented Project Management Assistant (PMA) to join the JDI team and directly support the Project Management Department. The PMA is responsible for supporting Project Managers in the execution of assigned projects. The right individual for this position will have a basic understanding of business operations, the ability to react quickly to changing conditions, strong attention to detail, and excellent verbal and written communication skills.

Key Responsibilities

  • Liaising with project stakeholders concerning project details and deliverables
  • Assist Project Managers with day-to-day project tasks and overall project tracking and reporting
  • Conducting administrative duties, such as setting up meetings and taking minutes, ordering/picking up lunches as needed for meetings, assisting with project proposals, and setting up projects in the JDI project management and accounting system
  • Process submittals and RFI’s
  • Track deadlines and follow up with disciplines to get project deliverables out on time
  • Assist with sealing drawings
  • Enter project budgets into Ajera
  • Keep track of PPE (personal protective equipment) inventory
  • Keep track of specific client projects using Excel and Meister Task. Set up new client projects, seal, and return to the client
  • Keep track of PE license expiration dates and send renewal reminders
  • Performing other duties assigned by the Project Managers in an orderly and efficient manner

Skills, Knowledge, and Expertise

  • High school diploma/GED (Associate’s Degree a plus)
  • 3+ years of experience in project management or administrative assistance
  • Ability to multitask in a high-volume, fast-paced work environment with very tight deadlines
  • Strong organizational and technical skills, verbal and written communication skills, and attention to detail
  • Able to work independently and as part of a team
  • Proficient in Microsoft applications, including MS Project, Excel, Word, and PowerPoint
